How to import items into Stockroom (CSV)
Quickly bring items from a spreadsheet into the folder you have open.
Quick overview
Upload a CSV, match your columns to Stockroom fields, review the items, then save them to your folder.
Before you start
Prepare your file
- Use a CSV file exported from Excel, Numbers, Google Sheets, or another spreadsheet app.
- Make sure the first row contains column headers. These are the names Stockroom uses to help match your columns to item fields.
Choose the right folder
- Items are always imported into the folder you currently have open.
- Each folder uses an item template. Your CSV should match that template’s fields as closely as possible.
- If your folder uses the default template, use columns for the fields you see in the app, such as name, quantity, price, and any other item details you want to import.
Check permissions
You need permission to create items. If you do not see Import To Folder (CSV) in the folder menu, ask an admin to update your access.
Check your item limit
Imports count toward your total item limit. If the import would put you over your limit, Stockroom will prompt you to upgrade before saving.
Step 1: Open the folder
Go to the folder where you want the new items to be added. The folder can be empty or already contain items.
Step 2: Start the import
- Tap the Options button () on the folder or item list screen.
- Select Import To Folder (CSV).
Step 3: Choose your CSV file
Pick your .csv file from Files, iCloud Drive, Dropbox, an email attachment you saved, or another location available on your device.
After you choose a file, Stockroom will open the import setup screen.
Step 4: Set up the import
Next, match the columns from your CSV to the fields in your folder’s item template.
Attributes
Each row represents a field from the folder’s template. Choose the CSV column that should fill that field, or leave it unmapped to use the default value.
Barcode value
If your file includes barcodes, you can optionally map a CSV column to the item barcode value.
- Next: Continue to the review step. You must map at least one field before the Next button becomes available.
- Cancel: Exit the import without saving anything.
Step 5: Review your import
Stockroom will read the CSV, build a preview of the items, and check for possible issues, such as duplicate names.
- Scroll through the list to review the items that will be imported.
- Tap any row to preview that item before saving.
- If an issues banner appears, tap it to review what needs attention.
If issues appear
For each issue, choose how you want Stockroom to handle that row:
- Merge — combine it with an existing item when available.
- Import anyway — import the row and keep both items.
- Do not import — skip that row.
Resolve anything the screen requires before saving.
Step 6: Save or discard
- Save Items — completes the import and returns you to the folder.
- Discard — closes the import without saving anything.
Tips for a smooth import
| Tip | Why it helps |
|---|---|
| Use column names that match your template fields | Helps Stockroom map fields automatically |
| Export a sample CSV from Stockroom | Shows the format Stockroom already uses |
| Import into one folder at a time | Keeps items organized and easier to review |
| Use UTF-8 encoding | Helps prevent special characters from displaying incorrectly |
